This Privacy Policy explains what personal information the Patient Transport employee application (the “App”) collects, why we collect it, who can see it, and what choices and rights you have. Patient Transport LLC (“Patient Transport,” “we,” “us,” or “our”) is the controller of the information described here.
The App is a workplace tool, not a patient-facing service.
The App is provided to people who work for Patient Transport LLC — employees and contractors — so they can clock in and out, view their schedule, request time off, and receive work notifications. Accounts are created and issued by Patient Transport administrators; there is no public sign-up. The App does not collect, store, transmit, or display any patient information, medical records, or protected health information (PHI). Nothing you do in the App involves the people we transport.
Notice regarding location: please read Section 3.
The App records your device’s GPS location at two moments and two moments only: when you tap Clock In and when you tap Clock Out. It does not track you during your shift, between shifts, or when the App is closed. Section 3 describes this in full and serves as your written notice of workplace location recording.
1.Who this policy covers
This policy applies to you if you are an employee or contractor of Patient Transport LLC and you use the App on a personal or company-issued mobile device. It covers the App and the Patient Transport servers the App communicates with.
Because the App is a workplace system, your relationship to the information in it is different from that of a consumer using a commercial app. The records the App creates — your punches, your schedule, your time-off requests — are employment records belonging to Patient Transport LLC. Your managers and administrators can see them, and we are required to retain many of them by wage-and-hour law. This policy explains how we handle those records responsibly; it does not make them private from your employer, because they are your employer’s records.
This policy does not cover information Patient Transport collects about you outside the App, such as through HR paperwork, payroll systems, or your employment file. Those are governed by our internal employment policies and any notices we give you separately.
2.Information we collect
We collect only what the App needs in order to function as a timekeeping and scheduling tool. The categories are listed below in full.
2.1 Account and identity information
When a Patient Transport administrator creates your account, that account holds your name, your work email address, and your assigned role. When you sign in, the App exchanges your credentials with our server for a session token, which the App stores on your device so that you do not have to sign in repeatedly. Your password is never stored on the device.
2.2 Timekeeping information
Every time you clock in and clock out, we record the time of the punch, the shift it was associated with (if you selected one), the total minutes worked, and any comment you chose to add. If you submit a correction request — asking a manager to fix an incorrect punch — we record the original times, the times you requested, your explanation, the manager’s response, and the decision.
2.3 Scheduling and availability information
The App shows you your assigned shifts, including dates, times, job labels, shift types, and any notes attached to a given day. If you respond to an offered shift, we record whether you accepted or declined it and when. If you submit an availability request, we record the days and time ranges you said you are available and any reason you provided.
2.4 Time-off information
When you request time off, we record the dates and times requested, the type of request, the number of hours, any reason you wrote, and the decision your manager makes, including any note they attach. The App also displays your paid and unpaid time-off balances, which are held on our servers.
2.5 Location information
Precise GPS coordinates — latitude, longitude, and an accuracy radius — captured at the moment you clock in and at the moment you clock out. This is described in detail in Section 3.
2.6 Device information
The App sends a device identifier with its requests to our server. This is Apple’s “identifier for vendor,” a value that identifies your device to our App only. It cannot be used to identify you across other companies’ apps, and it is reset if you delete the App. We use it to keep your session secure and to recognize the device you are signed in on.
2.7 Information stored only on your device
Some information never leaves your phone. Your session token is held in the iOS Keychain, the operating system’s encrypted credential store. Notifications you have received and your in-app display preferences are stored in the App’s local database. Deleting the App removes all of it from the device.

3.Location information
Location is the most sensitive category of information the App handles, so we describe it precisely. This section also serves as written notice to you that Patient Transport records location data in connection with your work, which some states require us to give you.
3.1 What is collected, and exactly when
The App requests a single GPS reading at two moments: when you tap Clock In, and when you tap Clock Out. Each reading consists of a latitude, a longitude, and an accuracy radius in meters. Those values are sent to our servers along with the punch and are stored as part of your timekeeping record.
3.2 What is not collected
We want to be unambiguous about the limits, because “an app that collects precise location” can reasonably sound alarming:
- The App does not track your location continuously, during your shift, or between shifts.
- The App does not collect location in the background or when the App is closed. It requests only “While Using the App” permission from iOS, and it holds no background location capability whatsoever.
- The App does not monitor your driving, your route, your speed, or the addresses you visit.
- The App does not build a location history. It holds two points per shift: where the shift started and where it ended.
3.3 Why we collect it
The two location readings exist to verify that a shift was started and ended at the place the work was performed. This protects accurate payroll, resolves disputes about hours, and supports our recordkeeping obligations. We do not use it for any other purpose.
3.4 Your control over it
iOS and Android both ask for your permission before the App can read your location, and you can withdraw that permission at any time in your device’s Settings. You should understand the practical consequence: because a verified location is part of a valid punch, denying location permission will prevent the App from clocking you in or out, and you will need to have your time recorded another way. Please speak with your manager if you need an alternative.
4.How we use information
We use the information described above to:
- Record your hours worked and calculate your pay accurately.
- Verify that shifts were started and ended at the correct work location.
- Build, publish, and adjust employee schedules, and offer open shifts.
- Receive, review, and decide time-off and punch-correction requests.
- Send you work-related notifications, including shift reminders.
- Keep your account secure and keep you signed in on your device.
- Comply with wage-and-hour, tax, and employment recordkeeping laws.
- Resolve disputes and, where necessary, establish or defend legal claims.
We do not use your information to make fully automated decisions that produce legal or similarly significant effects about you. A human manager reviews and decides time-off requests and punch corrections.
5.Why we are permitted to use it
We process this information because it is necessary to perform and administer your employment or contracting relationship with us, because we have legal obligations to keep accurate records of time worked and wages paid, and because we have a legitimate interest in operating our business, protecting the integrity of our payroll, and securing our systems. Where the law requires your consent for a specific processing activity, we will ask for it, and the App will not carry out that activity unless you give it — location permission being the clearest example.
6.Who can see your information
6.1 Inside Patient Transport
Your managers, scheduling staff, human resources personnel, and system administrators can see your timekeeping records, schedule, punch locations, and time-off requests, because reviewing and approving them is their job. Access is limited to those with a business need.
6.2 Service providers
We use a small number of vendors to run the App and its servers, including our hosting and infrastructure provider. They process information strictly on our instructions, only as needed to provide their service, and they may not use it for their own purposes.
6.3 Payroll and benefits administration
Hours worked and approved time off are used to pay you, and are shared with our payroll and benefits providers for that purpose.
6.4 Legal and safety
We may disclose information if we are required to by law, subpoena, or other legal process; to respond to a government or regulatory request; to enforce our agreements; or where we believe disclosure is necessary to protect the rights, safety, or property of Patient Transport, our employees, or the public.
6.5 Business transfers
If Patient Transport is involved in a merger, acquisition, financing, or sale of assets, employee records may be transferred as part of that transaction. Any recipient would remain bound by the commitments in this policy.
7.What we never do
These commitments are absolute and are reflected in how the App is actually built. The App contains no third-party software development kits of any kind — no analytics libraries, no advertising libraries, no crash-reporting or attribution services. It communicates with Patient Transport’s servers and with no one else.
- We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We never have.
- We do not use your information for advertising of any kind, and the App contains no advertising.
- We do not track you across other companies’ apps or websites. The App does not request Apple’s App Tracking Transparency permission because it has no reason to.
- We do not send your information to analytics or data brokers.
- We do not access your camera, photos, microphone, contacts, or health data. The App does not request these permissions.
- We do not collect patient information or PHI through the App.
8.How long we keep information
We keep timekeeping records, including the location stamps attached to punches, for as long as applicable federal and state wage-and-hour laws require, and for as long as necessary to resolve any dispute or legal claim relating to hours worked or wages paid. Federal law requires employers to retain payroll records for a minimum period, and some states require longer; we retain to the longest applicable standard.
Scheduling, availability, and time-off records are retained for the duration of your employment and for a reasonable period afterward, consistent with our recordkeeping obligations. When information is no longer needed for any of these purposes, we delete it or de-identify it.
Information held only on your device — your session token, your notification history, your preferences — is removed as soon as you sign out or delete the App.
9.How we protect information
All communication between the App and our servers is encrypted in transit using HTTPS. Your session token is stored in the iOS Keychain, the operating system’s hardware-backed encrypted credential store, rather than in ordinary app storage; your password is never written to the device at all. Sessions expire and are refreshed automatically, and the App signs you out after an extended period of inactivity so that an unattended phone does not leave your account exposed. On the server side, access to employee records is restricted to authorized personnel with a business need.
No system can be guaranteed perfectly secure, and we do not claim otherwise. If we become aware of a breach affecting your personal information, we will notify you and the appropriate authorities as required by law.
10.Your choices and rights
10.1 Device permissions
Location access and notification delivery are both permissions you grant, and both can be revoked at any time in your device’s Settings. Revoking location permission will prevent clocking in and out through the App, as explained in Section 3.4.
10.2 Access and correction
You can see your own punches, schedule, and requests in the App at any time. If a punch is wrong, the App has a built-in correction request feature — submit the corrected times with an explanation and a manager will review it. For anything the App does not let you correct yourself, contact us using the details in Section 15.
10.3 Accounts and deletion
Accounts in the App are issued and removed by Patient Transport administrators; you cannot create one yourself, and for that reason there is no self-service account deletion inside the App. When you leave the company, your account is deactivated and you lose access. You may ask us to delete personal information we hold about you, and we will honor that request except where we are legally required to keep the record — which, for payroll and timekeeping records, we generally are. We will tell you clearly what we deleted and what we had to keep, and why. Deleting the App from your device immediately removes everything stored locally on it.
11.U.S. state privacy rights
Several states, including California, give residents rights over their personal information, and California extends those rights to employees and job applicants. Depending on where you live, you may have the right to know what personal information we have collected about you and how we use and disclose it; to request a copy of it; to request correction of inaccurate information; to request deletion, subject to the legal-retention limits described above; and to be free from retaliation for exercising any of these rights. Patient Transport will not retaliate against you for making a privacy request.
For the avoidance of doubt under these laws: we have not sold personal information, and we have not shared personal information for cross-context behavioral advertising, in the preceding twelve months or at any time. The categories of information we collect, the purposes we collect them for, and the parties we disclose them to are set out in Sections 2, 4, and 6 of this policy. To exercise a right, contact us at the address in Section 15. We will verify your identity before responding, and we will respond within the time the law allows.
12.Notifications
The App can send you reminders before a shift begins and alerts about schedule changes, shift offers, and decisions on your requests. Shift reminders are generated by the App on your own device and are not routed through any third party. You can turn notifications off at any time in your device’s Settings, though we recommend leaving shift reminders on so you do not miss a shift.
13.Children
The App is a workplace tool intended solely for people employed or engaged by Patient Transport LLC. It is not directed to children, and we do not knowingly collect personal information from anyone under 16 through the App.
14.Changes to this policy
We may update this policy as the App changes or as the law requires. When we do, we will revise the “Last updated” date at the top of this page. If a change materially affects how we handle your personal information — for example, if we were ever to collect a new category of data — we will notify you directly through the App or by email before the change takes effect. We will not apply a materially different practice to information we have already collected without telling you first.
